Web & Systems Executive

Function of the role

To assist in the smooth and timely launch of the new Magento website while maintaining the Systems & Web Content ongoing work.

Full-Time Role

37.5 hours Monday – Friday (as necessitates the role – during prime retail periods work may extend outside the normal parameters)

Education requirements

Degree level preferred

Experience required

Ecommerce (Magento platform) or stock system (Prima) experience required

Must be proficient in database usage

Should have worked with business reporting systems

Photoshop experience helpful

Core Skills

Excellent written and spoken English communication skills, with the sensitivity to adapt in line with each audience, while remaining on brand

Must be able to work confidently and well with a variety of suppliers, managing the relationships to ensure the company’s goals and deadlines are met

Great time management skills (see above): ability to deliver projects within tight deadlines/on budget

Must appreciate the bigger picture while working on the detail

Accuracy is essential within every aspect of this role

Must be able to demonstrate high levels of numeracy

Must be a team player, but with the ability to work under own initiative

Magento/Prima Integration Project:

• To facilitate the integration of the new Magento website with our Prima stock keeping system by acting as the main point of contact with Prima

• Ensuring that the Vaimo development team has the most up to date data for the build and thereafter, troubleshooting any issues that Prima or Vaimo have with the ftp communication

• Working with the OL, Vaimo and Prima teams to help test the integration & troubleshoot issues for a timely launch

• Assisting the web team in the migration of content to the new platform

• Thereafter, working on the snagging list to help ensure optimal performance

Systems Ongoing:

• Prima liaison – logging and progressing support issues; reviewing with the Prima team, monitoring and escalating as required

• Reviewing and implementing new features of systems (Prima and/or current web developers) to ensure that the company’s systems remain up to date

• Trialling new developments on our staging site(s) before implementation on the main site(s)

• Ensuring the ftp communication between Prima & the website is running correctly

• Pushing data through the ftp as and when required

• Providing information packs to our web developers and/or Prima to help resolve ad hoc issues on the current site

• More2: liaising between More2 and Prima to ensure the former has the most up to date and relevant information for the Single Customer View

• Planning in any maintenance outages with the web team

Web Content Ongoing:

• CPA generation: extracting information from the product

• and merchandising teams & Prima to create and administer the CPA for all web categories excluding Special Offers

• Administering web stock on Prima including:

- Setting up SKU codes and colours

- Monitoring prices and amending when required

- Monitoring stock levels of key lines against At Risk list

- Transferring stock to the appropriate warehouse to ensure product can go live/does not go out of stock unnecessarily

- Setting up Pre-Order stock with the CS/Distribution teams

• Creating web copy specifications for launches, chasing samples & checking against makesheets

• Main point of contact with wk360:

- Booking product shoots & creating briefs to ensure maximum efficiency during each one

- Collating samples

- Attending shoots to ensure output is of the highest standards/fit for purpose

- Commissioning more complex retouching where basic level in house Photoshopping not sufficient

- Administering shoot paperwork efficiently

- Housekeeping the Image Management System to ensure up to date and backed up

• Uploading approved copy and visual assets to the Content Management System in a timely fashion to support an ordered launch

• Sharing new launch information with the customer service and merchandising teams

• Creating new product and category slugs on the CMS as required for web promotions

• Merchandising key categories as required to keep the offer looking fresh and attractive to customers

• Removing out of stock items from the CMS, remerchandising affected categories and administering on Prima

• Carrying out regular web trawls to identify errors with a view to removing and improving

• Proposing updates to key category pages, using the staging site to view what works best

• Referring to Google Analytics to look at performance of products and categories with a view to improving

• Regularly looking at competitor sites and sites in different sectors with a view to proposing improvements

• Working with the rest of the team to prepare Private Sale and Public Sale Events

• Collating samples and assisting at model photographic shoots as required
